Facility Supervisor

Job Description

  • Supervise manpower allocation and daily administrative activities to ensure smooth warehouse operations.
  • Manage vendors, contracts, and SLAs for security, housekeeping, maintenance, and facility services.
  • Plan and execute procurement activities with a focus on cost optimization, transparency, and timely delivery.
  • Oversee complete facility management including preventive maintenance, statutory compliance, safety protocols, and emergency preparedness.
  • Monitor warehouse safety and security systems in coordination with the security team.
  • Support new warehouse projects including setup, vendor onboarding, infrastructure readiness, and compliance.
  • Maintain accurate records related to facilities, vendors, procurement, assets, and manpower deployment.
  • Prepare MIS reports and dashboards using MS Excel and ensure professional business email communication.
  • Ensure adherence to statutory requirements and organizational policies.
  • Resolve administrative issues to ensure uninterrupted warehouse operations.
  • Scope of Responsibilities

  • Safety and PPE compliance
  • Manpower deployment, attendance, and discipline
  • Housekeeping and hygiene management
  • Security operations and access control
  • Genset, utilities, and infrastructure management
  • Vendor performance monitoring and audits
  • Procurement and PO generation
  • Billing verification and cost control
  • Asset management, AMC tracking, and maintenance
  • Cosec employee ID generation and deactivation
  • Infrastructure maintenance (electrical, plumbing, pest control, fire drills)
  • Any other administrative responsibilities as assigned

Qualifications

Required skills & Qualifications:

  • Graduate in Administration, Business Management, Logistics, or a related field.
  • Strong exposure to vendor management, procurement, and facility compliance in warehouse operations.
  • Knowledge of warehouse safety norms and statutory requirements is mandatory.

Skills

  • Proficiency in MS Excel (formulas, pivot tables, MIS reporting) and professional email writing.
  • Strong organizational, multitasking, and problem-solving skills.
  • Proven vendor negotiation and procurement management skills.
  • Sound knowledge of warehouse facility management, safety standards, and compliance requirements.
  • High integrity, attention to detail, and confidentiality.
  • Effective interpersonal and team management skills.
